Preventive HVAC maintenance: cost against consequence

A compressor failing in mid-August does not cost the price of the part. It costs the stock lost, the production hours stopped, the lead time on the component, and sometimes a customer who changes supplier. A maintenance contract is therefore not judged against its own price, but against that cost.
What a shutdown actually costs
Three items add up, in this order of importance.
The stock. In a freezer room the temperature rise is slow; in a chill room it is fast. In both cases a documented break in the cold chain makes the stock unsaleable, even if it looks intact.
Production. Where cooling is part of the process, losing the plant stops the line. Downtime hours convert directly into money.
Lead time. This is the most underestimated item. A large compressor is not a standard stock item. Between ordering, shipping and replacement, downtime is counted in days, sometimes weeks.
What a preventive contract contains
A serious contract describes operations, not intentions. It states what is checked, how often, against which thresholds, and what is included or charged as an extra.
Typical frequencies
- Refrigeration plant and packs: quarterly visit, with a full set of operating readings.
- Cold rooms: quarterly check of temperatures, defrost, door seals and evaporator.
- Commercial air conditioning: two visits a year, before summer and before winter for reversible systems.
- Air handling units: filter checks driven by pressure drop, typically quarterly in industrial settings.
- Refrigerant circuit leak testing: frequency based on the charge, with written traceability.
The check points behind most failures
Condenser fouling
This is the leading cause of drift. A fouled condenser rejects heat poorly, discharge pressure rises, and the compressor works harder for less output. The extra consumption observed on site commonly runs from ten to thirty per cent depending on how fouled it is, and the mechanical stress shortens compressor life.
Refrigerant leaks
An installation losing refrigerant loses capacity gradually. Operators notice late, because the system compensates by running longer. Beyond the loss of efficiency, low charge degrades oil return to the compressor, which leads to failure.
Electrical and control checks
Tightening connections, measuring current draw per phase, checking contactors, verifying high and low pressure safety devices. A phase imbalance or a pitted contactor is visible during a visit and repaired in minutes; ignored, it destroys a motor.
Defrost
Poorly set defrost leaves an evaporator iced up, so heat exchange degrades and consumption rises. Set too frequently, it warms the enclosure needlessly. The setting is verified under real conditions, not at the factory.
Preventive, corrective, reactive
Confusing these terms is what separates two apparently comparable quotations.
Preventive covers scheduled visits and planned replacement of wear parts. Corrective work follows a detected drift, before failure. Reactive work follows the failure.
A contract that promises preventive visits but charges every out-of-visit call-out at emergency rates does not protect against the main risk. The question to ask is simple: what happens, financially, if the plant fails at three in the morning on a Sunday?
How to read a contract quotation
Five points to check:
- The exact scope: which items of equipment, identified by tag, are covered.
- The guaranteed response time, distinguished by time of day and day of week.
- What is included: labour only, or labour and parts, and up to what value.
- Consumables: filters, belts, top-up refrigerant.
- Price revision terms and the length of commitment.
What the service report must contain
A useful report is not a signed attendance slip. It carries measured values: high and low pressures, evaporating and condensing temperatures, superheat, subcooling, current draw, recorded ambient temperatures.
The value of those figures appears at the third visit. Compared over time, they reveal the slow drifts that no visual inspection shows: a discharge pressure creeping up visit after visit signals fouling or a condensing problem well before the shutdown.
That is the substantive difference between servicing and maintenance: one cleans, the other measures and anticipates. Keep those reports; they form the history of the installation, and they carry weight both in a post-incident assessment and when the site is sold.
